1. Overview

Reno Techs ("we", "us", or "our") is committed to protecting the privacy and personal data of our clients, website visitors, and individuals whose data we process in the course of providing our services. This Privacy Policy explains how we collect, use, store, and protect personal data in accordance with the General Data Protection Regulation (GDPR) (EU) 2016/679, the UK GDPR, and applicable US privacy law.

This policy applies to all personal data collected through our website at renotechs.com, our client onboarding process, our system review intake forms, and any software systems we build or operate on behalf of clients.

2. Data Controller

Reno Techs is the data controller for personal data collected through our website and in connection with our direct client relationships.

Where we build, operate, or maintain software systems on behalf of a client organization, we act as a data processor and the client organization acts as the data controller. In those cases, a Data Processing Agreement (DPA) governs our obligations.

• Pages viewed, time on site, and referral source

• Form submissions (name, email, company, message)

If you opt in to analytics cookies, Google Analytics 4 measures site usage and broad traffic sources. Contact details and message contents are not included in lead-conversion events. We do not use third-party advertising trackers.

When you request a system review or engage our services, we collect:

• Full name, job title, company name

• Business email address and phone number

• Information about your technical infrastructure and operational processes

• Contract and billing information

This information is necessary to assess your project, deliver our services, and fulfill our contractual obligations.

3.3 Data in Client Systems

In the course of building or maintaining custom software for clients, we may have access to personal data stored within client-controlled systems. This data is processed only as directed by the client, under the terms of a signed Data Processing Agreement. We do not use, share, or retain client data for our own purposes.

5. Data Retention

We retain personal data only for as long as necessary for the purposes described in this policy:

• Prospective client inquiries — 24 months from last contact, then deleted unless a contract has been signed.

• Active client records — Retained for the duration of the engagement and for 7 years thereafter to comply with legal and tax obligations.

• Website analytics data — Aggregated and anonymized after 12 months.

• Data in client systems — Retained and deleted according to the timeline specified in the applicable DPA and client instructions.

You may request earlier deletion of your data where no legal retention obligation applies. See Section 7 for your rights.

6. Data Sharing and Third Parties

We do not sell or rent personal data to third parties.

We may share data with trusted service providers who assist us in operating our business, under appropriate data processing agreements:

• Cloud infrastructure (e.g., hosting, data storage) — servers located in the United States or EU, depending on configuration

• Email delivery (e.g., transactional email services)

• Accounting and legal advisors — subject to professional confidentiality obligations

• Payment processors — PCI-DSS compliant; we do not store full card numbers

We may disclose personal data if required to do so by law, court order, or regulatory authority, or to protect the rights, property, or safety of Reno Techs, our clients, or others.

For clients based in the EU or UK: where data is transferred outside the EEA, we ensure appropriate safeguards are in place (e.g., EU Standard Contractual Clauses or adequacy decisions).

7. Your Rights

Under GDPR and applicable privacy law, you have the following rights:

• Right of Access — Request a copy of the personal data we hold about you.

• Right to Rectification — Request correction of inaccurate or incomplete data.

• Right to Erasure ("Right to be Forgotten") — Request deletion of your data where we have no legal basis to retain it.

• Right to Restriction — Request that we limit how we use your data in certain circumstances.

• Right to Data Portability — Receive your personal data in a structured, machine-readable format.

• Right to Object — Object to processing based on legitimate interests or direct marketing.

• Right Not to be Subject to Automated Decision-Making — We do not use automated profiling or automated decision-making that produces legal or similarly significant effects.

To exercise any of these rights, contact us at info@renotechs.com. We will respond within 30 days. We do not charge a fee for legitimate requests. If you are located in the EU or UK, you have the right to lodge a complaint with your local supervisory authority (e.g., the relevant EU Data Protection Authority or the UK Information Commissioner's Office).

8. Data Security

We implement appropriate technical and organizational security measures to protect personal data against unauthorized access, disclosure, alteration, or destruction. These measures include:

• Encryption in transit (TLS 1.2+) and at rest where applicable

• Access controls and role-based permissions on internal systems

• Regular security assessments of the software we build and maintain

• Employee confidentiality obligations and security awareness practices

• Incident response procedures with breach notification protocols in compliance with GDPR Art. 33 (72-hour supervisory authority notification) and Art. 34 (data subject notification where high risk)

No system is completely secure. If you believe your data has been compromised, contact us immediately at info@renotechs.com.

9. Cookies and Tracking

Our website uses essential storage for site operation and to remember your cookie preference. Google Analytics 4 is loaded only if you accept optional analytics cookies. Our optional custom events measure inquiry starts, submission failures and successes, contact-link clicks, pricing and service-link interest, and case-study opens through Replit project analytics; these events also require your analytics consent. Rejecting or disabling analytics prevents our optional custom events and Google Analytics events from being sent. Event properties are limited to form category, link category, service category, case-study identifier, and placement; they do not include names, email addresses, message text, error messages, or link query strings.

When enabled in publishing settings, Replit hosting analytics also measures pageviews separately from our optional custom events.

We do not use advertising or behavioral-advertising trackers. You can change your choice at any time through Cookie Preferences or configure your browser to refuse cookies. Note that refusing essential storage may affect some site features.

10. Children's Data

Our services are directed at business organizations and professionals. We do not knowingly collect personal data from individuals under the age of 16. If you believe we have inadvertently collected such data, contact us at info@renotechs.com and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or the services we offer. The "Last Updated" date at the top of this page indicates when the policy was last revised. Where changes are material, we will notify active clients by email. Your continued use of our website or services after the effective date of any update constitutes your acknowledgment of the revised policy.
